Custom Fields for CMMS Configuration

Tractian now allows Admins on Enterprise plans to create Custom Fields across core CMMS modules, giving maintenance teams the flexibility to adapt the platform to their own workflows and reporting standards.

One of our most requested features is now live for Enterprise CMMS customers: Custom Fields. This release empowers maintenance teams to personalize Tractian according to their processes, improving data organization and reporting accuracy without relying on spreadsheets or rigid tools.

With Custom Fields, Admin users can create new fields across key areas of the CMMS:

  • Requests
  • Work Orders
  • Activities
  • Assets
  • Locations
  • Asset Specifications (Technical Sheets)
  • Inventory Items
  • Purchase Workflow

This means whether you're registering an asset, logging a work order, or tracking spare parts, you can now tailor each module to capture exactly the information your operation depends on.

Choose from a wide variety of field types to structure your workflows:

For example, you can create a checklist for machine startup steps, an audio field to capture voice notes on inspections, or a selector to track production shifts.

Why it matters

Maintenance isn’t one-size-fits-all. From pharma plants to metal stamping shops, each operation tracks a different mix of specs, documents, and maintenance inputs.

Custom Fields allow you to:

  • Set specific inputs that matter to your process (e.g., lubricant code, material, voltage class)
  • Organize and structure your data for better reports and traceability
  • Reduce confusion by aligning data entry with your team’s existing workflows

Instead of adapting your process to your CMMS, your CMMS adapts to you.

How it works

  • Admins can set fields as required, read-only, or filterable, with control over which fields appear in each form
  • Regular users will see and interact with the fields, but cannot change configurations
  • Custom Fields in Requests and Work Orders are connected: when a Request is approved, its values are transferred to the Work Order. After that, the fields become independent, so updates in one won’t affect the other.
  • You can also remove or disable existing fields to reduce clutter
